Reporting to the General Manager, the incumbent is responsible for overseeing the day to day financial and administrative duties of the business. This is an exciting opportunity for a high-performer, who is fascinated by facing a variety of challenges and learning about a growing business. The successful candidate will be a self-starter who takes initiative in their day to day activities. We are searching for the perfect person to keep our accounting and office running smoothly.

The purpose of the position is to ensure accurate, timely processing of accounts and to maintain accurate, up-to-date and balanced records in support of the financial operations of the company.

KEY AREAS OF RESPONSIBILTY AND ESSENTIAL DUTIES

Office Administration
• Responsible for telephone, mail and email inquiries
• Receive customers and visitors, answer inquiries and supply information as required
• Maintain office supplies and plant related inventories
• Develop, maintain and update office filing system, including electronic files
• Maintain and update customer information and files
• Maintain and ensure smooth operations of office equipment
• Maintain office in guest-ready condition
• Assist with shipping and receiving
• Assist with social media
• Other related duties and special projects as required

Financial Administration
• Post accounts payable and accounts receivable
• Invoicing, statements and A/R aging
• Reconcile receivables, bank and visa statements
• Work with bookkeeper to oversee, maintain and manage office finances
• Assist in development of government tenders and contracts
• Ensure procedures and policies are being followed
• Prepare bank deposits
• Investigate and resolve any discrepancies
• Work with customers to collect amounts outstanding

Requirements

QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES

• Ability to establish and handle multiple work priorities
• Knowledge of bookkeeping an asset, including how to use Quickbooks Online

• Eager to learn and develop new skills
• Positive attitude and commitment to providing outstanding customer service
• Outgoing, energetic and fun is an asset
• Completion of grade 12 with post-secondary education in financial accounting or bookkeeping program
