Nature and Scope
The Administrative Assistant provides support for the Operations Manager. The Assistant maintains a professional relationship with other staff members, the schools, school boards and drivers. This position is also accountable for drivers and yard supervision while the Operations Manager is out of the office, and reports directly to the Operations Manager.

Knowledge and Skills Required
• Operations and supervisory experience an asset
• Experience in the school bus industry an asset
• Good knowledge of the rural roads and ability read rural maps
• Excellent communication skills with the ability to interact professionally while exhibiting confidentiality and diplomacy
• Expertise in organizational planning and problem solving
• Computer proficiency in Microsoft Word, Excel and Outlook, willingness to learn new programs
• Ability to communicate well with staff and outside organizations
• Maintain a high degree of confidentiality and professional conduct
• Exceptional organizational, analytical problem-solving and diplomatic skills
• Skilled in handling emergencies, offering assistance in a calm and professional manner
• Class 2 license or willingness to obtain class 2 license
• Administration degree /or office management course would be an asset

Principal Duties and Responsibilities
• Ensure that drivers and staff are treated in a fair and consistent manner using the guidelines and rules set down in the Driver's Handbook and Policy and Procedures manual
• Ensure school routes are covered in an efficient and fair manner
• Set up and input data accurately for driver payroll for the yard's assigned routes
• Assist in answering public and driver inquiries and finding solutions to concerns
• Ensure all required paperwork/requests is completed in an accurate and timely manner
• Keep appropriate staff informed of any major issues, changes, concerns etc. in an expedient fashion
• Supervise and delegate responsibilities of personnel, ensuring all routes are covered in the most equitable and efficient manner
• Handle public and driver enquires, hostile or complimentary, demonstrating empathy and professionalism
• Work closely with the Transportation Manager of the Department of Education in setting up and maintaining accurate route information
• Co-ordinate with charter customers by quoting a price, in-putting data, sending confirmation and assigning drivers for all charters
• Driver check in and dispatch duties
• Help maintain route information so that it is current and accurate
• Drive a school route as required
• Various office duties such as filing, photocopying, etc.

Working Conditions
The office of the Administrative Assistant is located at 91305 Alaska Highway, Whitehorse. Regular hours for this position are 8 am to 5 pm, Monday to Friday. This position will require an earlier start when the Operations Manager is away.

This is a full time position and wages to commensurate with education/experience
